Smart cards
Bills, receipts, deliveries, bookings, deadlines, addresses, and account alerts, read out of your mail and shown as small cards you can act on.
Some messages carry facts that need action: a bill and its due date, a package and its tracking number, or a booking and its address. CommSync reads those facts out of the messages you receive. It shows each one as a smart card on the message. You see the amount, the date, or the place at a glance, and you act on it in one click.
A card shows you something. It never pays a bill, never opens a link from the message, and never creates a contact or a to-do by itself. You make every change.
A card is help inside the message. CommSync does not keep a separate page of your bills, subscriptions, or accounts. The same facts also help Ask answer questions about your mail. An AI app that you connect can read them too.
The cards
| Card | What it shows | What you can do |
|---|---|---|
| Bill | The payee, the amount, and the due date. An Autopay tag when the mail says that the bill pays itself. | Remind me, Mark paid, Copy amount, Pay at the payee's site |
| Invoice | The issuer, the invoice number, the amount, and the due date | Remind me, Mark paid, Copy invoice number, Open PDF when the invoice came as a file |
| Receipt | The merchant, the total, the date, and the order number | Copy order number, Track package when a delivery belongs to the order |
| Subscription | The service, the plan, the price, and the next renewal or the end of a trial. A price change shows the old price too. | Remind me the day before it renews |
| Shipment | The carrier, the tracking number, the status, and the expected day | Track on the carrier's site, Copy tracking number |
| Flight | The two airport codes, the times under them, the flight time, the seat, and the confirmation code. A connection or a round trip is one card. With a map of the route when Apple Maps can draw it. | Check in from 24 hours before departure, Add to calendar, Copy confirmation code |
| Reservation | A hotel, a table, an appointment, or an event: what, when, and where, with a map | Add to calendar, Open in Maps, Copy address, Copy confirmation code |
| Deadline | The sentence that states the deadline, and the day | Add to-do, Dismiss |
| Phone | A phone number from the message | Call, Text from a CommSync line, Copy number, Add to contact |
| Place | A street address, with a map | Open in Maps, Copy address |
| Person | A name, a title, and a company from the sender's own signature | Save as contact, Not now |
| Account security | A password reset, a new sign-in, a new device, a connected app, or a changed 2-step setting, for one service | This was me, This was not me |
Every action on a card is also in the card's ⋯ menu, and in the menu that opens when you right-click the card. Hide this card is in the same menu.
Remind me sends you one notification at the time you pick. It creates no to-do. Every card with a date has it, and so does every Coming up row on Home. A reservation that has started offers no Remind me, because the notification would come after it.
- Pick Day before or Morning of. Both send at 9:00. A package has On delivery day. You can also pick a time yourself.
- The card then shows a chip with the time. To change the time, open the chip. To take the reminder back, choose Remove reminder.
- A bill or an invoice already has a reminder: the bill alert at 9:00 on the day before it is due. Its chip shows Auto. When you pick your own time, your reminder replaces the bill alert. To stop the bill alert for one bill, choose Turn off for this bill.
- A small amber dot on a chip means that the reminder cannot reach you. Turn on notifications in a browser or on your iPhone, or turn on Reminders in Settings → Notifications.
Add to-do adds a to-do on Home, linked to the message.
Add to calendar adds a booking to your own calendar:
- On the web, CommSync downloads a calendar file (
.ics). Open it to add the event to your calendar app. - On your iPhone, CommSync opens the event in Safari, and Safari offers Add to Calendar. The link works for 10 minutes. A deadline with a time of day has the button on the iPhone too.
- The file holds only what the card shows. It holds no link from the message.
A small purple mark next to a value means that CommSync AI read that value out of the message. Every other value came straight from the text. CommSync shows a value only when the message states it. When CommSync is not sure of an amount or a date, the card leaves it out.
Where cards show
- On an email, the cards sit between the header and the message.
- On a text, the cards hang under the bubble. A phone number, an address, or a tracking number in the text gets a dotted underline. Click it for a menu.
- On your iPhone, the same cards show in the app.
CommSync keeps the cards quiet:
- A message shows at most two cards. The rest wait behind one +N more chip.
- Phone, place, and person cards wait behind +N more when the message also has a bill, a delivery, or another card that can need you.
- Amber marks a bill or a deadline that is due within three days, and a payment that failed.
- Messages you send get no cards. CommSync reads the mail you receive.
- A message that only gives you a one-time code gets the copy chip, not a card.
Bills that pay themselves, and bills you paid
- Autopay. When the mail says that a bill pays itself, the card shows Autopay. It never turns amber, it never notifies you, and it leaves the Coming up list on Home.
- Paid by a receipt. When a receipt from the same company arrives for the same amount, or names the same invoice number, CommSync marks the bill as paid. If that is wrong, press Not paid on the bill. CommSync then never marks that bill as paid from a receipt again. You can still press Mark paid yourself.
- Only you see the result of Mark paid and Hide this card. A teammate who reads the same message still sees the card without your change.
Appointments and bookings
- The time zone in the mail. When the mail writes a zone next to the time ("9:00am CDT", "3pm Eastern Time"), the card uses that zone. It shows the time in your zone. IST can mean India, Ireland, or Israel. So CommSync reads an IST time in the zone of your workspace owner, as if the mail wrote no zone.
- One card per appointment. A reminder that lists two appointments gives two cards, each with its own time, title, and place.
- One card when a business writes twice. When a notice and a reminder name the same appointment, the newer card replaces the older one. A reminder that you set on the older card moves to the newer card.
- The title and the end time. The card takes its title from the service ("90 Minute Massage"), never from a subject line such as "Appointment Reminder". It shows the end time when the mail gives one or gives a length.
Account security cards
An account security card says what happened to one of your accounts, and asks if it was you.
- The card never shows a link from the message. A real password-reset email and a fake one look the same. When CommSync knows the service, the card links to that service's own security page, from a list that CommSync checks.
- This was me hides the card for good.
- This was not me shows the steps to secure the account from a place you trust, and marks the event.
- When you act as a teammate, a search ignores
has:security. Their account security stays personal.
When a message shows the amber caution strip, CommSync shows no card on it. A security message under the strip shows only a warning.
Maps
A place card and a reservation card show a map of the address. A flight card needs no address: see Flights.
- CommSync sends the address text to Apple once, to find it on the map. CommSync keeps the answer, and uses it for every later message with the same address.
- On the web, Apple Maps draws the map. On a day when Apple is busy or fails, the map comes from Google Maps instead. Your browser then sends the address to Google.
- On your iPhone, the card shows a picture of the Apple map. Tap it to open Apple Maps.
- A message that shows the caution strip never gets a map.
- CommSync limits how many new addresses a workspace looks up in one day. On a very busy day, a new address gets its map the next day.
Flights
A booking email from an airline gives one flight card. The card shows the route first: the two airport codes, the times under them, and the flight time between them.
- The times are the airline's times. Each time is the local time at its airport, as the airline prints it. A +1 next to an arrival time means that the flight lands on the next day, in the time of the arrival airport.
- One card per booking. A connection and a round trip are one card with two or more flights. The card shows the time on the ground between two flights.
- Check in. From 24 hours before departure, the card shows Check in. The button opens the airline's own site only. When the link in the email goes to another site, the card shows no button.
- Times changed. When the airline sends new times for the same booking, the newer card replaces the older one. It shows the old times struck through, and the new times under them.
- Cancelled. A cancelled flight shows Cancelled and has no map.
- The gate. A gate comes from a day-of email. Gates change, so check the airport screens.
- No live status. The card shows only what the airline emailed. It shows no live delays and no live gate changes.
The map shows the airports and the route between them. It shows only when Apple Maps can draw it. Otherwise the card has no map. CommSync knows about 4,000 airports, from the public OurAirports data, and works out each airport's time zone from its position. An airport that CommSync does not know shows its code, and the card has no map.
Home, the Daily Brief, and notifications
- Coming up. Home lists the next 7 days. It shows bills and invoices that are due, trials that end, and subscriptions that renew. It also shows today's and tomorrow's bookings, and packages out for delivery. Bills on autopay fold into one line.
- The Daily Brief. Today's brief adds one Due line for the bills due this week and the trials that end. An example: "2 bills this week (Northwind Power $84.10 Thu, City Water $41.00 Sat). 1 trial ends Friday." CommSync builds that line from the cards. AI does not write it.
- Bills due tomorrow. The day before a bill is due, you get one notification with the payee and the amount.
To turn off the bill notification, open Settings → Notifications and turn off Bills due tomorrow. On the iPhone, open Settings, then Notifications.
Find and ask
- Search.
has:bill, has:receipt, has:shipment, has:security, and more find the messages that carry a card. See search. - Ask. Ask can answer "What did I spend with Northwind Supply in September?" or "Which subscriptions renew this month?" The totals come from CommSync, not from the AI.
- AI apps. An app that you connect can read the cards through the
search_entitiestool. See MCP. - Webhooks. The
message.entities_extractedevent sends the cards to your own systems.
Privacy
- Agents never see your account security mail. A CommSync agent never reads the body of a security message or a one-time code, and it never gets an account security card. It reads "[security message withheld]" instead.
- Webhooks never carry an account security card.
- AI apps read your account security cards by default. Each key and each app has a Security details setting. Set it to Redacted to hide the service, the code, and the body of the message. See MCP.
- No card holds a link, a token, or a code from a security message. CommSync never stores one.
AI credits
CommSync reads most cards with plain code, at no cost. For a bill, a receipt, a subscription, a booking, or a deadline, CommSync AI also checks which amount and which date are the real ones. That check draws a very small amount from the AI credits of your workspace. A workspace that is out of credits still gets the cards that code can read alone.
